What is electronic proof of delivery?

Electronic proof of delivery, or ePOD, is a digital record confirming that a delivery was completed. Instead of a signature on a paper docket, the driver captures the confirmation in an app and it attaches to the delivery record itself.

A clear definition

Electronic proof of delivery is the digital equivalent of the signed docket a driver used to hand back at the end of a shift. It answers the same question — was this delivery actually completed, and can we show it — but the answer lives in the delivery record rather than on a piece of paper.

The term covers a range of practice. At its simplest, an ePOD is a timestamp and a recipient name. At its most thorough, it is a small evidence package assembled at the moment of handover.

How electronic POD differs from paper

Paper proof of delivery is not wrong, and plenty of operations still run on it. The differences are practical rather than philosophical.

The gap widens with time. On the day of delivery, a paper docket and a digital record are equally convincing. Three months later, when a customer asks about one delivery among thousands, only one of them can be found in seconds.

What an electronic POD may contain

There is no universal set of fields. What a record contains depends on the system in use and on what the courier company chooses to capture for that kind of work. The components below are the ones that appear most often.

Photo confirmation

A photograph taken at the point of delivery shows the state and placement of what was delivered. It is most useful for deliveries left in an agreed location, for recording the condition of an item at handover, and for resolving the common dispute where a recipient cannot immediately find something that was in fact delivered.

Photos should show the delivery, not the people or surroundings around it. Capturing more than the job requires creates a record you then have to look after.

Recipient name and signature

A name plus a signature captured on the driver's screen identifies who accepted responsibility for the item. For business and healthcare deliveries this is often the single most important field, because "it was delivered to the site" and "it was delivered to the right department" are very different statements.

Is a digital signature as good as ink?

Operationally it is usually better, because it is timestamped, attached to the correct delivery, and retrievable later. Whether it satisfies a particular contractual or legal requirement depends on the agreement in place and the rules that apply where you operate — that is a question for your customer contracts and your own advisers, not for the software.

GPS and timestamps

A completion timestamp records exactly when the delivery was closed out. Location data recorded at the same moment corroborates where that happened. Together they turn "it went out this morning" into a specific, checkable claim.

Timestamps also expose patterns that are otherwise invisible: which routes consistently run late, which sites take longer than expected, and where the day's schedule is optimistic rather than realistic.

Driver notes

A free-text note lets the driver record the things a structured field cannot anticipate — who redirected them, which entrance they used, what the site asked them to do differently next time. Notes written at the door are far more accurate than notes reconstructed at the end of a shift.

Failed attempts and exceptions

Proof of delivery is not only about successful deliveries. When an attempt fails — nobody available, site closed, access refused, wrong address — the attempt itself deserves a record: what was tried, when, and why it did not complete.

Customer access and record retrieval

A proof-of-delivery record is only as useful as the ease of getting to it. In most modern systems, access takes one of three forms:

  • A tracking link for a single delivery, which anyone holding the link can open to see its outcome.
  • A signed-in customer portal showing that customer's own deliveries and records.
  • Internal search across delivery history, for answering questions long after the fact.

Retrieval speed is where ePOD pays for itself. The alternative — someone walking to a filing cabinet — is the reason so many small disputes get settled by issuing a credit rather than by checking.
